Learner to Manager relationship - HELP

Hi all,

We are currently upgrading to totara 12 from totara 2.9 and are having an issue with how the learner to manager relation is set up on the CSV. Having never previously utilised this field we are very keen to start doing so, the only issue we are having is how to display it on the CSV files. On our HR system (where the data is being exported from) when it comes to assigning people managers, this is all done by the job name/code due to often multiple people being in the same position, i.e. Lifeguard at Fake Leisure Centre reports to Duty Managers at Fake Leisure Centre.

We have been told that it is not possible to assign the manager relationship via positions as it has to be done on an individual basis i.e. Jess (Lifeguard) reports to Clive (Duty Manager) rather than Jess (lifeguard) reports to all duty managers at her site. This is because the majority of our manager positions are bucket positions rather than individual positions.

Is this definitely the case? Has anyone had a similar issue and is there a way we can get around this without having to redesign our whole HR system which is never going to happen.

Happy to give further details if needed.

Thank you in advance!!

Josh

Hi Josh,

You're correct, the Staff Manager assignment is setup on Jess (with position of Lifeguard) reports to Clive (in his position as a Duty Manager), there's not a way to say Jess reports to all Duty Managers.

However, depending on what functionality you need, you could use Hierarchies, specifically the Position hierarchy. In that you can say that all Lifeguards report to Duty Managers, so if Clive runs a report, he can see info for all of the Lifeguards. This allows you to manage reporting only though. Clive wouldn't then have access to manage Jess' competencies or mark course work completed.

What do you need the Manager to be able to do?

Thanks!

Wes

Hi Wesley,

Thanks for that, we would need managers to be able to review competencies as well as approve face 2 face courses etc. The problem we have is our hr system is set by job postings, a lot of which are bucket positions rather than an individual manager. This is because a lot of the work carried out at our sites is shift work so managers can be different on each shift.
