Did anyone get learners automatically assigned to groups by using group enrollment keys?

We want to use the option to automatically assign learners to a group when they self-enroll to a course.

We have enabled groups at the course level. We have created a group with an enrollment key. We have set-up an instance of self-registration method (or self-enrollment method) with both enrollment key and group enrollment key enabled and the same key from the group is used as enrollment key. We have create an activity that is assigned to this group, as well.

Based on the documentation, the learner that has used this enrollment key when registering (enrolling) to the course, should be added automatically to the group with the same enrollment key.

It doesn't work.

(Totara 12.5, Moodle 3.3.9.)

Any hints or ideas?

Hi Angela,

I had a look a the helpdocs and there appear to be only three ways to add members to a group:

1) Manually

2) Audiences sync

3) Auto-create groups.

You are using method 3?

Could you give us exact reproduction steps to enable us to see what you are seeing? In particular how the group is set up to receive new members & how that relates to the activity.

To create groups, you can either "create groups", "auto-create groups", "import groups".

When you choose "create groups", you can define a group enrolment key which is reused in the the enrolment method "self-enrolment".

The documentation says: "If you have enabled self enrolment with an enrolment key then you can add a group specific one here. Using the group enrolment key will simultaneously enrol the user into the course and this group." This is what did not happen when we tested it.

Steps:

On the course level, we have enabled Groups (without forcing because we will have activities that are not assigned to just one group mixed with activities restricted to one group only.
We have created a group with an enrolment key.
We have set-up an instance of self-registration method (or self-enrolment method) with both enrolment key and group enrollment key enabled and the same key from the group is used as enrolment key.

(We have create an activity that is assigned to this group, as well just to test access.)

Hi Angela,

Try using a different key for self-enrolment to your group enrolment key. From memory, the self enrolment key is like a "master" key so when users are typing it in they are just being enrolled onto the course without going into any group (even if another group has the same key).

Yes, that's what I mean. You set a generic enrolment key in the self-enrolment settings but then have unique enrolment keys for each group. When a user enters the group enrolment key, they get enrolled into the course and added to the group. This won't work if you use the same enrolment key for both group and generic self-enrolment.

I'm pretty certain that if you only use the group enrolment keys (don't have the course level one) it will work for you.

Hi David, Have you ever tested that? You have to define a key on course level through the registration method. This key has be the same and you need to enable Group enrolment key. There is no other chance to link registration and group assignment through a key, at least in our environment. How would you do this?

To anyone coming across this threat. The solution will be documented in the group area of the Totara documentation.

Thanks to all that helped me solving the problem.

Solution: Do use different enrolment keys: one for the group, another one for the registration method self-enrolment. Give the group enrolment key to the potential learners.
