Instructor roles and visibility on profiles

Are you aware of any video that covers how one would go about adding numerous profiles to one dashboard? The goal is to be able to display numerous students and what they are currently working on (status of assignments, courses enrolled, etc) but allow the instructor to see all students in one area?

Hi Equan

This looks similar to what the Team page displays - the profile details and record of Learning are shown to their manager.

This would require the instructor to be made a 'manager' of their students.

If this doesn't sound suitable then separate groups could be created with an instructor role adjusted to be able to view profiles. This would work on a course or activity level rather than site level like the previous suggestion. The permissions will also not apply at a user context like the manager role does meaning managers  could view profiles of people not in their group if they have the view profile permission.

Thank you for the response. If I went the separate groups route, would I be able to display the student information without clicking into their profiles? My goal is to be able to view their stats without maneuvering around too much. 

As of now, I am considering creating a custom report based on certain audiences. Does this sound to be similar to my desired goal?

Hi Equan

It is possible to add a Report table block that shows the contents of a report so if you could create a report that displays the information you require then this would work.

For your custom report it is possible in Totara 12 on the Content tab to 'Show records by audience' - this would only show the user details of people in the audience.  Are you able to include group members in an audience?

Hello Craig,

I am able to create an audience for the members. If I did the report table, is there a way to dictate exactly what information I am wanting to view? Such as courses enrolled, courses completed, or things not related to courses possibly?

Yes the columns that are visible are coming from the report builder where you can choose the columns you want to include.

Back on the separate groups option, would this require the instructor to physically click into the different profiles? Or would they be able to view all information pertaining to their students from a block on the dashboard?

All of the information for the user's students would be displayed in the block if this works as expected.

Thank you! You have been a huge help. I do have one additional question.

If I were to create multiple reports, say one for each different area I am looking to track for my students; in theory I can display all of this information in as many boxes as I choose?

Yes that is right you can create a box for each report and then choose what report and filter to display in each box.

When building a report, would I need the role of site administrator as mentioned in the https://help.totaralearning.com/display/TL12/Report+Builder page? If I was not this role is there a work around for creating a report? Right now I have a report made on my site, but I dont see any function to pull specfic information. 

So far, all I am able to see/do is while on the edit report the tabs I see are : 

General Columns Graph Filters Content Access Performance 


I assumed the content tab would provide me the opportunity to pick what information I want to display, but I dont see where I can pull anything from the audience that I assigned.

Hi Equan

If you don't have the site admin role then you can add the permission to another role to 'Allow the creation, editing and deletion of reports'.

The content tab in the report should show Audience - although if you have an earlier than Totara 12  version of Totara this will  not be available.

Awesome! I was able to get this portion successfully completed. I now have reports on my newly created dashboard, with the information I am wanting. The only issue I am running into now, is that the report will pull the same user from the audience more than once. Is there a way to configure the report to only display the user 1 time for that specific report?


I have the audience to "include records from" the specific audience that I desire. But, when I run the report, the audience column has 3 audiences duplicated, causing the same user to be displayed 6 times.

You mentioned earlier that with Totara 13 there will be changes in this specific area. Are you aware if there will be any change added that will allow a supervisor to view anything that will provide information specifically for their audiences? For example, right now I am creating reports for each audience that I am wanting to track. As you can imagine, this can be a bottleneck and time consuming. Are you aware of anything already developed or in the works for this?

I believe you answered this earlier...correct me if I am wrong, but the column tab will allow me to choose what information is displayed?
