Hi All

We are potentially signing up to Totara Learn and we have approx 17,000 users who have children attached to thier account.

Has anyone had to deal with this? We are told that one email address will be attributed to one user, but how is this householding managed from the system to allow multiple learners on the one account?

Where we have children as learners, who are attached to thier parents email address, how could this be managed?

Any help would be appreciated

Hi Mel

Having one email for several users  is possible through the upload users  but this is not recommended, to upload users with duplicate email addresses. By default, uploading users with duplicate email addresses is prevented. Further, since the ability for users to log in with their email address it is even more important that duplicate email addresses be avoided. To allow duplicate email addresses, go to Site administration > Plugins > Authentication > Manage authentication. You can tick Allow accounts with same email. Then on the upload users screen you will be allowed to change the Prevent email address duplicates setting. However, doing this is not recommended. For more info, see the Managing authentication page.

  • Yes prevents user accounts from being created from the uploaded if an existing user account already has the same email address as found in the uploaded file's email column
  • No allows user accounts to be created if an existing user account already has the same email address found in the uploaded file's email column
Rather than having the same email address for each child are you able to create a separate email address for each child and then forward emails to the parents email ?

What role are the parents required to have for the children, are they wanting to see their progress . If so then assigning the parent as a staff manager of the children may work.

Thanks Craig for the walk.

Our problem is that most young kids won't have an individual email address and at the moment our current LMS holds the parents email as the primary log in and we use the linking option to attached their children as learners. So a parent can log in, chose the learner and initiate the learning module.


So trying to replicate this in Totara

Any help with this user story would be great

Ok it sounds like you are using the parents email as the username - do the children have separate accounts as well that are linked somehow?

Do the individual children need their progress tracked if so they will need separate accounts and usernames, Is there a problem using separate username for each child and the parent logging in for each child?

- We are told that we can only use email for user name, so our issue is not all children have thier own email address. So we need to figure out how we create accounts for parents and thier children when they only have one parent email address.

Yes we need to track the childrens progress so they will need a seperate account and user name, so the question is

"Can we set up a parent account and link multiple children accounts to allow a parent to sign in on behalf of thier child"

User Story: As a parent I need to be able to register myself and my 2 children onto the LMS, however my child doesnt have thier own email address, how do I do this?"

Hi Melonie

Totara does expect unique usernames - you can make up an email address as  the username is not used for sending any emails - it is the users email field that is used for this. 

Using the upload users feature to create users you can set the allow duplicate emails setting so the parent gets any e,mails related to their children.

For progress to be stored against each child each child needs a unique username.

Assigning the parent as the manager of their children allows the parent to login and see the progress of each of the children they manage through the Team menu.
