Recording external course completion

At our company, our staff are required to complete several external training courses for compliance reasons, with most courses having a refresher period (varying from 12 months to 36 months). As these are compliance requirements, we also have to provide reporting on the courses.

Creating courses within Totara Learn for external courses has proven to be quite clunky and tedious to only upload a certificate or manually update employees completion. This is the same for Evidence uploading.

While trying to find a solution on the web, I came across this from the Kineo knowledge base:

https://knowledgebase.kineoportal.com/en/categories/20-external-training-in-learning-management

https://knowledgebase.kineoportal.com/en/articles/48-add-external-training-course-in-learning-management

This seems like a better streamlined process that would be of value for our company. Is this something that would be able to be developed for Totara Learn customers? Since it already seems to be sitting within Kineo.

Thank you.

Group Totara

Have you considered creating a certification containing no courses? Each time a user completes the external training you could upload that in the "Upload certification records" page. Just make sure to configure the certification's "Certification" settings correctly and read all the documentation on the upload page, especially about "Import action", and choose the appropriate option (probably "Certify uncertified users"). Then just use the normal certification reporting.

Or, if you don't need to track the current status of users within Totara (e.g. just having a record and reporting of when users completed the training is sufficient) then maybe you could use either the course or certification upload and enable "Create evidence". Using this method, you could probably do without creating any course or certification in Totara, although this might make reporting across multiple users more difficult (having the records attached to a course or certification allows reporting on that learning item, while recording as "Evidence" might make that harder, if required). Then user the normal Record of Learning reporting.
