Hello all,

Can anyone advise on how Totara behaves if I change the recertification window after the certification has been assigned and completed?


We recently made the decision to increase the recertification window from 1 month to 6 months before expiry. 

I have made the change and expected to see that change reflected in users record of learning.

However, it seems that users are still marked as certified, with the recrtification widow set to 1 month  before expiry. 


Is this correct?

Hi Paul,

We are using V12 and have found that any window cert setting changes after it has already been assigned won't take effect until after their next completion.

Example - They completed April 2022, they completed May 2023, the change you made won't take effect until after their 2024 completion (so it will take affect in 2025).

Thanks for confirming.


With that in mind do you (or any other forum members have any suggested work arounds? 


The problem is that our client is imposing an internal deadline for all staff to recertificate  by end of August . 


However because we originally set the recertification window at 1 month and they are dynamically assigned some staff can't retake the course until sept, oct, Nov etc 


I was hoping that by increasing the recertifcation window to 6 months we would be able to open up access earlier and staff could then retake and update their certificates .


Has anyone else found themselves in this position?

HI Paul,


Not sure if others have better alternatives (I'd love to hear if they do), but in V12 what we have done in this situation is to create a new certification, remove the old assignment, and assign everyone to the new certification.  In our particular situation this necessitated communicating with everyone in the company about the new assignment to let them know what, when, why.

Likewise, would love to hear any clever ideas - Any changes like this also result in us creating a new certification, and retiring the existing one. 

Which can get complicated if something has been running for a while.

The ability/option to choose to apply changes retrospectively would be fantastic.

If we've had to bulk-change dates - such as bringing window open dates forward, or changing due dates - we've gone to our partner with a flat file of the changes, and they've been able to update in the back-end!


Check with your partner if they can do something similar?

Thanks Simon, I didn't think of that.


I'd be interested in hearing from Totara as to what the user case scenario is for not making this functionality update legacy certifications. 

I can't think of one, as the learner remains certified when you change the re-certification window.

I imagine changes to the recertification window can be frequent in the "real world".

I appreciate you starting this discussion!

I wanted to share that we have plans to enhance our Certification offering for the T19 release. Currently, we are in the exploratory phase, carefully assessing the various aspects of Certifications that can bring the most significant improvements to our product and have the most impact for our customers. We realise that there are aspects of our Certifications feature that don't work well in the real world. 

Your insights are valuable, and I will definitely take them on board as we work through this discovery phase.

Very common for us where updating individuals is not possible.

Re-cert Criteria is set and then it changes (due to admin error when originally setup or business requirements change).

At the moment the change of criteria will only apply to new people, those with window open or those that are on the original cert pathway. All of those with their window closed do not update.


Keen to have decision point, to update all enrolled learners.


Looking forward to changes in 19!

Yes, we had a similar situation and it was a huge pain.

We didn't have that many so we could manually edit the individual accounts that required it though.

I imagine you could do the same, but it would not be practical with larger numbers.
