Hi - We have a HIPAA eLearning course we require certain roles to complete once every two years. It's just one course. We want to send them notifications to remind them to complete. Does it makes sense to create a certification for just one course? I saw some notes about recurring courses here in the forum, so maybe that would be a better fit, but since it's a legacy feature, I'm wary. Thanks for any help you can give!

Hi Patricia,

We have corporate training that needs to be refreshed every one, two, or three years. We found it easier to set up a certification for each course, rather then try to bundle them together. We are on V18 and using centralised notifications to standardise the emails the users receive. We have a couple of "training due" notifications and a couple of "Training overdue" that are also sent to managers.

I am trying to set up something similar to you.

I hope you don't mind me asking.

Do you present all of your Certification courses in one go, or do you spread them out over a time period? If you do the latter, how are you doing this?

Hi Stephen,

We originally had our corporate training assigned to learners over a two-week period.

It would start with an 'Onboarding' Progam containing our induction and code of conduct certifications/courses. Once that was complete they'd be assigned a suite of cultural awareness and cyber security certifications/courses. Two weeks later they'd get the some additional cultural awareness and basic contracts certifications/courses.

The onboarding program was assigned via audience rules on account creation.

The remaining certifications were again assigned via audience rules after the program was complete. We have various completion and recompletion criteria for different people, so there are separate audience rulesets for each course and then again for each certification.


We received a lot of feedback from managers wanting the training to be assigned in one go, as two-weeks later the new starter would be knee-deep in their job and having to pull them out for more training was counterproductive.

So, we've simplified the rulesets to give everything a new starter needs in one hit and added dashboard elements for them to track their progress in the corporate training and easily see any recertification that needs to eb done.

We are introducing about 50 new Health and safety courses, all of which need to be renewed in 3 years. Each one will be certified separately.

We are adding codes into a profile field that Audiences will look at to decide who belongs in which Audience. We are yet to assign learning by the account's Position.

Initially, for existing staff, we are releasing the Certifications over a year (lucky staff), and I was looking for a way to preschedule the staged release in advance. At the moment, it looks like we will have to do it manually by adding the Audience Rules on the day.

The H&S department thinks that new staff will be able to do their 10 to 20 courses in a month. I did explain that they have all of the HR courses and to try and do their job at the same time….
