Hello dear friends,

Once again, I am faced with a problem that has already cost me a day's work without any results. 🤦‍♂️

I am a tenant administrator, but I have relatively limited rights.

I have created a course category. There is one course in this category. There are two audiences in this category, one to evaluate the course and the other consisting of the learners.

I created a tenant report for the evaluation (source: course completion). Now I would like the audience that is supposed to evaluate the course to be able to open this report, but only see this course and only the audience of learners as a result. Without having to apply a course filter! I don't want to use a ‘saved search’ because that can be reset at any time.

A “reporting role” was created in the past, but it has access to the entire tenant, and I don't want the people who have this role to be able to open the report I'm talking about. I also don't want to do the evaluation in the courses themselves, because they cannot be customized and are not really clear or intuitive. Furthermore, they do not have the necessary data at a glance – as I have created it in the custom report.

I just want the audience that is supposed to evaluate this report to only see content from this one course with people who are in the audience of learners for the course. The learners and evaluators are not in the same organization or position, so access restrictions cannot be clearly mapped using Access.

Is there no way to link a report directly to a course and specific evaluators?

There has been a feature request raised that will likely cover this type of scenario.

See https://totara.canny.io/feature-requests/p/allow-admins-to-assign-reports-to-users-or-audiences-without-needing-to-use-role and add your 'vote' and scenario.

In the meantime If you're a tenant admin, you might need to work with the site admin to create some additional roles to limit access to the report or even use global user report restrictions: "are designed to restrict the content visible in report builder reports. Turning this feature on allows for fine grained control over what records are visible to users viewing a report builder report but can have a significant impact on performance."

You should already be able to set the content to only display records for users in a specific audience:

  • Within the report settings click on 'Content'

  • Scroll to the section named 'Show records by audience'

  • Enable this setting

  • Use the drop down menu to select the required audience

  • Save changes
