is there a simple way to manage legacy completion data

Dear all

I would be interested to know how other institutions or organisations, import user legacy completion data for courses or certifications (when moving courses across to Totara).

We are fairly new Totara platform adopters, and had been/ are using a range of platforms to deliver training and report on course completion.

We have initially launched with a small batch of institution mandatory courses, and had technical project resource to setup the legacy data for these.

We are not certain what the resource will be like after the project closes, to support the range of legacy data requirements, and it would be useful to have a workflow where course owners/ department admin teams can do this. But it is unlikely that we will have a central team managing the courses.

When I think of VLE's/LMS's, I think of the grade book and importing csv files of who passed the assessment, so part of me is wondering if this is possible, and its pros and cons.

Any thoughts and experiences are welcome, thank you in advance.

Kind regards

Ty

Hi Ty,

Totara provides options to upload csv files for both course completion history and certifications (Certifications are typically repeated annually, and so it's useful if you need to upload multiple years of history showing previous completion/certification).

Totara also has an Evidence Bank. This allows you to upload other files or store other information that might not necessarily be a "completion record". See https://totara.help/docs/what-is-evidence

When you use the course completion upload it can create evidence items if the course record does not correspond with a course that exists on the Totara system.

I think this should give you what you need to transition the legacy data.

Cheers

Tom

Hi Tom,

Thank you for sharing, this look useful, and i will share with my colleagues to check how many of these options had been considered so far.

Many thanks
