Does anyone have a suggestion on setting up Recertification messages so that all the initial 'Program' messages do not send out again on Recertification?

Apologies for my tardy reply.

An example Program Message that should send only once on assigning/enrolment is the Enrolment Message. This message sends again when staff are recertifying.

There is a need for an 'Expired Certfication' message to ensure staff are reminded and complete a Certification before Expiry. In the case of the Recertification path they are defaulted back to the original Certification path and need to Certify again, which can be different from the Recertification path they actually need to do  (see also Program over due message and Failure to Recertify Message - which is not helpful for those who have already Expired). The use of Enrolment, Program over due and Failure to Recertify potentially leads to a number of Messages being sent in a week which can confuse staff.Regards,Tracey

Hi Tracey.

The enrolment message should only be sent when a user is enrolled into the certification. The following messages are reset when the recertification window opens, which allows them to be sent again:

  • Program completed (when a user certifies)
  • Program due
  • Program overdue
  • Course set completed
  • Course set due
  • Course set overdue
  • Recertification window open
  • Recertification window due to close
  • Learner followup

If you are certain that you're seeing Enrolment messages resent to users then there could be a few reasons:

  • If you're manually clearing out records from the prog_messagelog then this would cause messages to be resent, not just enrolment messages. This table shouldn't be touched.
  • If you've deleted and undeleted the user then this will cause all certification messages to be reset (as well as a bunch of other side-effects).
  • If you've unassigned and reassigned a user then they will receive the Enrolment message again, by design, even if the user was restored into a certified state. The reasoning is that the user is going from "Not assigned to the certification" to "Assigned to the certifi cation" and they should be notified of this change.
  • There's a chance that there's a bug causing the message to be sent again for some other reason, but I think it's extremely unlikely. In this case you should file a support ticket.
