Hello folks

We have apprentices and I am trying to find a way to do the following on a specific date so that I can set it up in advance:

  • automatically add an audience to a course
  • create a group for it on a specific date
  • add the audience to the group

Any suggestions would be gratefully recived

Hi Stephen

  • automatically add an audience to a course

When you create an audience and add a course to Enrolled Learning the course gets the audience sync enrolment method added and audience members are enrolled in the course

  • create a group for it on a specific date
    When the users are enrolled by the audience you can edit the audience sync in the course to add audience members to a groups Course admin > Users > Enrolment methods > Audience sync The date for the group isn't able to be specified but could be set through audience dates or audience rules


  • add the audience to the group

This can be achieved by selecting the add to group field in the audience sync

Thank you for your help.

My main requirement is to be able to pre-program in advance, the enrolment to a course of a specific audience on a specific date which is then added to a new group which is created by the process. A bit like using Audience Sync as you suggest but being able to program it to happen to 20 courses each on a different date. 

I had though i could do this using Programs but it seems not to be possible.

I could use activity access control granting access by date and group but that would mean over 60 courses with up to 10 activities in each which would be far too much admin and impossible to maintain.

Yes it sounds like automation of this would be necessary to maintain this

There is an option in dynamic audiences under Automatically update membership - if the 'Make a user a member when they meet rule criteria' is unticked and you add a rule to add members then no members will be added until this is ticked. This would require manual intervention on the day you want to add members.

A more automated way to do this would be to base the audienice membership on being after a date field that is populated for each audience member (a customfield or maybe an existing one such as job assignment start date)

It is a shame as it sounds like it should be a feature of the Program function. 

This would certainly be used but colleges etc where they have an Audience of learners who need access to modules (courses) on certain dates.

I have just set up 50 outlook tasks to remind me to do it manually zzzzzzzzzz
