How do you handle document compliance training?

Hello,

At our company we have quite a bit of "Required Reading" courses for Standard Operating Procedures and Internal Guidelines. Each position has a set of PDF documents they are required to read prior to starting work and every two years after this. I set that up and it works ok (although it is 220 courses in total).

My real problem is that once a document is updated all affected users must read it and I have to create a course just for that document. At the rate we are going on document updates the number of courses required is getting very out of control. It would be in the hundreds per quarter. Being the sole member of the training department, this is not sustainable for me.

Just wondering if anyone else is in a similar position and what you may have done to keep a system like this sustainable. Besides compliance training I also have about 219 other miscellaneous courses in the system for safety, technical and other training items.

Hi Chris,

You should have a look at the Certification functionality. I think the updated PDF docs could be included in a re-certification path course. Please let us know if you have any more specific queries.

George,

Thanks for the reply. This was sort of a general question to other Totara users on how they handle this type of training. I understand assigning the documents, as I do that all the time. I'm more concerned about the number of courses we generate and how it would affect our hosting (and my time) I'd like to spend less time creating these courses since it typically takes about half an hour to create and assign a course. At the rate we update documents I have nearly a weeks work in man hours in our first quarter alone.

Hi Chris,

The creation new courses seems to be your problem. It strikes me using the periodicity of certifications might be a way around this - course completions are reset; you can use the same courses again and again. You can use the old courses, but update the content.

 It should be easy enough to assign learners to the certs using dynamic audiences.

Hi Chris

We have a similar problem. We use back up and restore feature to create a new course page and then re-issue. That might help save some time recreating the course page.


George - The problem is that if you update content within an existing course page you cant reassign that course to learners who previously completed the course because they already have a completion record.

Chris - have I got that right?


George - Do certifications appear under the required learning tab for the learner?

Thanks, that's probably the best bet! I use backup/restore for other things, I should have thought of it. My biggest pet peeve is creating the messages over and over, now I won't have to.


And yes that is correct, re purposing an old course would create a problem with assignments.
