Seminar minimum booking notification

Hi All, 

In my seminar event, all the notification recipients such as edit trainer, trainer, students, course creator are getting the minimum booking notification .

I have tested if users with system context and without system context and still they had received the notifications.


We want only trainer should the notification about minimum booking in the seminar event and not any other recipients, please anyone have any work around idea to achieve this , please share your thoughts.

Hi Rahul

Can you check under Site admin > Seminars > Global settings > Notification recipients and check what role is selected here. - the default is the Editing Trainer.

Also note that the minimum booking notification is sent to all users with the role in the system, category, course or activity level so you may need to apply the role at a lower level.

Hey Craig,

That is completely true, I have marked trainer and learner in the notification recipient, so there is some work around that only trainer gets the minimum booking notification ?


I have seminar activity and under that seminar activity is 4 event.

Event 1- Minimum booking set

Event 2- No Minimum booking set

Event 3- No Minimum booking set

Event 4- No Minimum booking set

all the attendees enrolled in the 4 different seminar events are getting the minimum booking notification and I would like to know if attendees enrolled in Event 1 only could get minimum booking notification?

I will check what the expected behaviour is - I think that only users in  events with minimum booking number set should receive a minimum booking notification.

Hi Rahul

This is behaving as documented - the attendees are all enrolled in the course with the seminar activity so have the learner role in the course context so will get the notification.

I think you will need to create another role (base this on the learner role) and add this role to the notification recipients. Include this new role as an Event role under Site admin > Seminar global settings.

Then go into the event and select the attendees for the event and assign the new role locally. (event role) - this should result in only learners with the new role in the event 

This isn't very automated  but can't think of a more automated way of doing this.

My learner have system and user context only and role archtype: staff manager, they are not in course context so all learner should not be any context and arch type should be learner?

Apologies for the lack of detail To get a person enrolled in a seminar event to receive a minimum booking notification - the new role should be based off the Learner role only rather than the staff manager role and be applied at the event level only

This role needs to be included as a notification recipient and be added to the event you require. 

If this still isn't clear I can create a role and check it does what you want and export this so you can use it.

Thank you so much for the clarification.

I have been following your instruction and its is working fine only the users enrolled in the event1 is getting the minimum booking notification and not all the users enrolled in other seminar events.

But I got struck in one thing, If I want more then one user should get the minimum booking notification and he/she should be assign a locally assigned new role(RTL) in seminar course. However I have tested if all users locally assigned in new role (RTL), they are getting the notification, but it's too much for customer to enrolled users in new roles(RTL), is there is any work around all the users get the minimum booking notification of event1 if they are not in locally assigned role. 

Please look at the attachment and you will get more clear picture.

New Role - RTL(archetype: student & context type: activity module).

Assign RTL(new role) at notification recipient at seminar global setting.

Enrolled different user in different seminar event for ex.

Event1(enrolled users : A, B, C, D)- minimum booking set

Event2(enrolled users : W, X, Y, Z)- no minimum booking set

Minimum booking notification- Received to user A because he has a locally assigned role in seminar course.

I think that the role would need to be applied for the event for the notification only to be sent to people in the event. If the role was at a higher level than the event then notifications would go to people not enrolled in the event.

I can't think of a way to assign the event role in a more automated way but will keep trying.
