Editing Default Totara Emails
by Ian Fletcher - Thursday, 14 May 2020, 10:30 AM

Hello,

I recently sent an "email based self-registration" email to myself to check the functionality, language used, formatting, etc.  Please see attachment for this file.

Where should I go within Totara to edit the language of the email, the subject line and the formatting.  Are there any other locations I need to go to change the email notifications?

Thanks,

Ian

Hi Ian

The text of the confirmation message can be edited through language customisation as explained here

If you search for the string you should find the authentication confirmation one under requestapprovedbody - this contains placeholders for fields (don't change the paceholders)

You might also want to look at the self-registration with approval that gives a few more options such as automatic approval using a whitelist of acceptable email domains and selection of hierarchy items.

Hello,

I've attempted to locate the string associated with this email language but have had no luck.  Within the language customization screen would you be able to tell me where this string is located.  Specifically, for the box that states "Shows strings of these components".  Could you tell me what string its located within or what core component to look through.  Thank you for the assistance.

Ian

Hi Ian

The string is located in the auth_approved  component

If you highlight all components and Filter by the String identifier requestapprovedbody or using 'Only strings containing' and add the text then  this should locate the strings you want to change.

Thank you George, I was able to immediately find the string, very helpful.  One additional quick question.  How can I change the subject of this email that gets sent to new users?

Currently, the subject for this email is _totara: New user account

Hi George,

I accessed the new string that you provided to me to address the Subject line for the email

I was able to change the "New user account" verbiage for this subject.  But the " _totara:" language still remains.

How can I remove the " _totara:"?

Thanks,

Ian

Thank you George! You've been extremely helpful.  I'm sorry to bug you again but I have one more question regarding the

Component: Core, String: newusernewpasswordtext

Is there a way to incorporate a hyperlink into this string?

Thanks,

Ian

Thank you again George!  I was able to find some online documentation on what string to use and was able to knock this out.  I greatly appreciate your assistance throughout this entire thread.  Have a great day! Ian
