Hi,

We are a large health organisation and many of our employees work across multiple organisations and they may complete some of their mandatory courses through other providers. 

We need the employee to be able to upload this course completion evidence, have it verified and then record a completion against the applicable course. Currently we are managing this manually by uploading completions through extracting reports or emails, but these tasks have a heavy admin burden and their is also a risk of not capturing all records.

So far we are investigating the following solutions:

  • Creating an assignment activity for employee to upload and supervisor to verify (grade).
  • Creating an On The Job Training Activity where the employee uploads a document
  • Using the RPL function - not sure yet on how to use this one.

Interested to know how other organisations are managing this task, any feedback would be greatly appreciated as this is a significant task in our organisation.

Yes we have had similar issues to this but never found a simple solution that worked.


We tried a "hack" which was to create a course page for each external course and add a learning activity to upload their certificate and then require them to tick a self declaration to say had passed the course.

The problem we ran into is that the certificate upload ie the evidence could only be viewed by the learner so it was difficult for line managers to verify. 

It would be interesting to know if things have changed or if there is a more elegant solution  as I imagine this is a common problem.

Thank you for responding. Your option is one of the things we are considering, except we would use an assignment for learners to upload their certificate, which could then be viewed (using grading) by managers who would then verify it. The problem is that is a lot of admin for managers. 

The OJT module is more user friendly, its easy for learners to upload and managers to quickly tick to verify, however the problem is that the system marks the completion date as when they uploaded, which in our situation is often vastly different from the date they actually completed the course. Our system is mainly certifications and the completion (upload) date drives the re-certification date and as this is not accurate the learner could be non-compliant for a period of time, but showing as compliant in the system. The only way around this is to manually change the completion date - a more complex task for managers and one that requires significantly higher permission levels.

Hi Lee & Paul, we are searching for a solution very similar to both of yours.

In our situation, learners can complete the course or apply for RPL. We have created a new category called 'recognition' to hold our separate recognition version courses and added 'assignments' for the upload of the application and a separate for evidence. This is graded by an assessor and marked off as complete.

In the original course the RPL route is via a sub course activity (as mentioned above) and when the grade is achieved in the sub course it shows in the main course.

The issue we are finding is when the Completion by 'other course' is selected, we get a score in the main course but it is not ticking off as complete for the sub course. it is also not ticking off as completing the whole course (I have since found out this works as a 'pre course' option only.

I am seeking any guidance around how to make the completion either/ or (completing course/RPL) where the completion of either set, marks the course complete.

We are a very large RTO and this option needs to be automated not manual.

Any assistance or suggestions would be appreciated.
