Hi everyone, we are trying to set up a user dashboard to view some graphs and cross tabs based on a saved report setting for a master report. When we log in with admin access, all works fine, when the user logs in the saved search settings aren't passed through and they get all system data not what we want them to see. I would love some ideas why this is happening? Is there something that we have to change in permissions as we have tried everything!

Saved report filters not working

When you login as the admin and select the report and click 'Manage searches' button does the search show as a public search?
If not then click on the edit icon for the search and tick the 'Let other users view' box
The other thing to check when editing the report is the Access tab - check that the user is in a role that is able to view the report or that 'All users can view this report' is selected.

Can you check the report Content and Access tabs to see if they have any restrictions on the reports for example if the show a user's own records is selected only records pertaining to the logged in user would show.
The other issue with the manage searches not showing is the search belongs to user who created it and they are the only ones who can edit the search even if the search is made available to the public. if everyone is able to edit the search then filters could be changed without other people being aware of this.
If this doesn't help then please get your partner to create a ticket with details on the Totara version and report settings so we can try and replicate this.

Thanks Craig, we have actually identified that this is a problem as the saved search works fine when you select category - it is only when you are trying to have it by courses that it won't work.
Thanks for your help though, at least we can pinpoint it down a little now.
