Hi all, we have had a questionnaire completed by users that we want just their manager to be able to view, however I am unsure if we can set this up as a report to allow people to view the responses only for their direct reports? Does anyone have experience with this?

Hey Rebecca,

Can you tell us more about how the Questionnaire is set up?

If you are using the Quiz module in a course - we can't report directly on Activities via the Report builder at present, so the only way for a manager to be able to see the Quiz report would be for them to be enrolled into the course with a manager role, this means they see everyone's results and not just their direct reports.

I believe it is set up as a quiz module in a course, do you have a suggestion on how we can get the data so the manager can only see their direct reports?

I think the best way to do this in the Quiz module would be to use groups

This would involve creating audiences based on managers, and enrolling managers as part of the group (with manager roles).

Would it be easier to use the Appraisal functionality instead?

Hi George, we are going ahead with this in our staging site - I just don't know how to add a manager role to the group (sorry, all new here for us!)

Hi Rebecca,

You could probably create a separate group for managers using the 'Has direct reports' rule in a Dynamic audience,  and then use the 'Groupings functionality' to ensure managers and learners work to together in a course.

Do you plan to have different managers with their respective teams enrolled in the same course?

Hi George, yes we do. Your advice has been great so far and we have been able to upload the groups and on the test, been able to see that when grouped together, the managers can only see their team. The issue is, we now need to work out how to reactively assign the team members to the groups so they are linked with their manager. There are nearly 12k responses already against the survey before we were asked for the reporting side (groups is a new function never used by our designers before!)


Do you have any idea if we can bulk upload reactively?

Hi Rebecca,

You could use the 'Manager' rule in a audience to do this, it means you have to do this for every manager but you can create an audience of the manager's team, and so a team group (and add the manager into the group manually).

I have to rack my brain around this a little....as we have 250 stores this will create a lot of audiences so that probably concerns me as well, I also don't believe we actually work with roles in audiences at the moment. 


We already have a manager account set in the org structure and all the team members in that store link through to them, so I guess technically we have that set up but I am not sure how to go back through this to align it to the groups.

Im not 100% clear on what your set up is, how big is the site? 

When you say 'We already have a manager account set in the org structure and all the team members in that store link through to them' does that mean you can use rulesets based on organisations to achieve what you want? 

If you have 250 dynamic audiences and are running a very large site you could hit performance issues. Do you have a Totara Partner you could ask for more detailed assistance?
