Replacing Events Attendees

We run a lot of face to face training events and need to accurately report on attendance for costing reasons. Becuase of the nature of our business (construction) managers often swap out attendees at the last minute. When we report these will show as cancellations, although they have actually been replaced by another team member, in terms of costing etc we don;t wan tto treat them as a cancellation we don;t want to re-charge for them. Does anyone have any ideas how we might achieve this - we sort of need a replace function as well as cancellation.

Hi Alistair

Seminars do allow custom user cancellation fields to be added to them.

You could add a field that stores a value in it when a user cancels by swapping out with another user and these users can be filtered out from the seminar reports for charge out purposes.

Let me know if there are any problems with this approach.

HI Craig - yes we do that already. The problem is we need to know who they have been replaced with, so the new person doesn't get re-charged. we almmost need another attendance status with an option to add in the new delegate username

Are you able to add another custom cancellation field that stores the details of the replacement . Use a filter for the report and export to spreadsheet and lookup with the booked user or is this getting a bit over complicated.

HI Craig - thanks for your suggestions. Yes we can make notes etc as you suggest, but it's to do with the cancellation terms and reporting. Becuase of the nature of the business (Construction) delegates often get swapped out at the last minute, but this means that the original delegate will show as a cancellation, and will often breach the cancellation terms i.e. can't cancel within 14 days of the event, and so get charged. Ideally we'd like a 'Swap' function in the manage attendees options, along side add and remove. We may look at a customisation. thanks
