Hi all,

Last week we ran a Community Webinar on Multitenancy across the Totara TXP.  Due to time constraints we weren't able to answer all the questions across the chat and there some questions that a few people have asked me now, so I've provided responses to these below.

Can tenants have access to multiple Dashboards?

Absolutely.  Tenants all have an associated Audience so you can easily assign Dashboard access to tenanted users.  A note that multiple dashboards can be assigned whether isolation mode is on or off.

Can tenants have a branded experience/tenant theme?

Yes!  You can enable tenant themes via Site Admin / Appearance / Ventura.  Here you can use the UI to create a custom look and feel, with a range of colours, a logo and login page image options. Don't forget to use that colour picker icon (eye dropper) to get just the right on-brand colour for your tenant!

Can tenants have different positions and organisational frameworks?

At this stage, as positions and organisations sit at the core level, there's no tenanted access to specific hierarchies. You can of course create multiple frameworks and use them for each tenant.  Note, this means tenant user admins can't link users to a job assignments. 

What does isolation mode do?

If isolation mode is enabled, it restricts tenanted user's access to tenant specific areas.  This means for tenant members, there is no access to site level areas such as shared Learn courses (courses that don't belong to a particular tenant) or Engage resources that are shared by non-tenanted users.

Can users be associated with tenants in bulk?

Sure can.  As a site admin, you can use HR Import to associate users to a tenant as a member or participant - there are new fields in the User Source in HR Import.  If you are a tenant user manager you can use the Upload User area within your tenant management area to upload a csv file. There's a handy dandy csv template available on that page too.

When talking about tenant user managers and tenant domain managers you keep saying 'by default' when describing what they can and can't do...why?

Just like 'Site Administrators', 'Editing Trainers' or 'Learners' these tenant permissions are created and defined by the standard Totara roles (access rights) system.  This means each role like 'Domain Manager' is made up of capabilities (like create course) and permissions (like allow or prevent).  The difference with these tenant roles is just that they are assigned at a brand new roles context of Tenant. This means their access rights are restricted to their associated tenant(s), so you can make tweaks and changes here and there as required.

The roles system is a hugely powerful feature across Totara and hosts around 600 different capabilities (!!), meaning you have a very granular level of control over what users can and can't do, but also that it can be a little confusing.  I recommend having a look at the Academy course we have on this area - and specifically the SCORM activity that drills into some of the details.

Can a tenant 'Domain Manager' create or edit a Dashboard for their tenant members?

Hi Nam

No, not currently.  Dashboards sit at the site level and there's no way for us to restrict Dashboard access based on tenant at the moment There is however an enhancement ticket - TL-22072 - for developing this functionality at some stage.
