Certification, user removed when going out of date.

Hi Guys,

Hope everyone is well?

On our system (totara 12), when someone goes out of date with a Certification it throws them off the original certification path, when they get around to doing the recert course, this gets awarded as a course but because they have been removed from the cert it remains out of date as it no longer registers that the initial path was completed within the certification.

Is there a way to stop this from happening as it causes a lot of queries and admin work!

Hi Chris

Is the user able to reassigned to the Certification through an audience after the certification has expired.

When a user is reassigned to a certification they will be returned to their previous status. This works by the system locating the latest unassigned certification completion history record and restoring the user to their previous state. Any events that need to occur (such as the window opening for recertification) will take place when the relevant cron task runs.

Hi Craig.

Thanks for your response.

We currently have an audience attached to the cert, when people fall out of date they stay in the audience, when they do the recert part of the cert they stay out of date as the system does not locate the previous unassigned cert history. it only picks up on the recert course and fails to register that they have already done the initial Certification path.

Is it the way we have the system set up causing this?

This is causing us to have to manually recert each one when the issue is brought to our attention and I am seeking a way to work around this :)

hi Christopher

I am not sure what is causing this behaviour - have you had a look at the certification completion editor and the transactions for the user to see if there is anything unusual going on with the completion records?

I have attached one of the transaction logs for the one of the effected user, quite a few changes have been made during the path they weer certified, my main observation is at the top and these actions?

Window opened, current certification completion archived, certif_completion updated (step 1 of 2)

Window opened, prog_completion updated, course and activity completion will be archived (step 2 of 2)

Certification expired, changed to primary certification path

I am not fully understandable of transactions, is this normal?

Thanks again for your assistance!

hi Christopher

Yes this seems normal - the certification completion  have been archived into historic records when the window for the recertification opens .

The Certification has then expired as they haven't  completed the recert on time so they have to start again from primary cert path

The users don't sound as though they are being unassigned from the audience - it is when the user is reassigned to the audience that they are returned to previous state.

Hopefully this helps if not then can you create a ticket with details of the audience setting and Certification settings and also whether the same course appears in more that one certification (this is not recommended)
