Hi everyone,

I am having some trouble with the Certification feature and how it seems to function does not make any sense to me.

I am on Totara 12, and have set up certifications to be done every 3 years, with a window opening 3 months before expiry date.

If a user completes the certificated course outside of the window opening, the completion is recorded, however, when the window opens (3 months before expiry), the completion data gets removed from any reports i run. 

This makes no sense, because if a user has to do a refresher of the certificated course before the window opens (due to them being observed that they are not following the instructions of the course), then the certification should record data of the refresher completion and start a new 3 year period until it has to be completed again.

This currently does not happen, as the certification only seems to look at the initial date the course was completed. On top of this, as soon as the window opens 3 months before expiry, the refresher completion data is removed.

Is this just how the certifications work? or is there some kind of setting that allows the certification to give another 3 years whenever the course is completed?

Hi Peter

I don't think the Certification completion data has disappeared - I think that it has moved from current to historic Cortication completion .

The data should be available in Reports that include historic records such as Certifications status history, ROL  Previous Certifications. Can you check they appear there?

Is there anyway to update the certification each time a learner completes the course related to the certification. I have some learners that will complete the training a few months prior to the re-certification window opening. we are currently updating this manually? 

Any help greatly appreciated.

We have a similar issue and I did add a forum post about it.  Unfortunately, I was told that if they complete it outside of the recertification window it doesn't update.

We have only gone live in November with a certification that I've already spotted have people completing it outside the recertification window.  I'm sure I am going to get queries a bit later in the year about it.    

Whereabouts do you manually change their completion information Karen?  It might be something I will need to do myself.

Not sure if this is the best advice, but rightly or wrongly!! I take a note of all the staff that complete early and upload a certification CSV file to update the records. 

Not Ideal, but seems to work for us just now. 

If anyone has any other ideas we are open to suggestions.

Increase your window opening time, ie for a yearly certification, put your window opening as 6 months.  Also double check your notifications are set to when the certification expires, rather than when the window opens.  Does that help?

We did think of this but this encourages those who are attending within the correct time frame to attend early on adding to the issue.
