Hi, I would really appreciate some advice on how to proceed with this.

We currently have a new starter induction program which contains 2 e-learning courses.  Our IT team have just created an e-learning course for new starters that they want to be made available to new starters when they join.

Ideally, I would like to add this e-learning to the already live New Starter Induction program, but not sure what is the best way to do this, without impacting the Audience already enrolled on this program.

Any suggestions on how to proceed?

Thanks in advance.

Sue

Hi Sue

Are you wanting users who are already assigned to the program and not completed the program to continue on without the new course.?

If you don't require this then adding the new course to the existing will mean that the assigned non completed users will need to complete the new course to complete the program.

If you do require this then  possibly a second program will probably need to created and only users who have started after second program is created are enrolled on the new program.

Hi Craig

What happens to people who have completed the program to which the course will be added?

The program will still be completed for them despite the addition of the extra course?

thank you

Hi Laurant

The people who have completed the program without the new courses that have been added will still be shown as completing the program.

If this isn't what you want then creating a new program and enrolling them in the new program will mean they need to complete the new course to complete the new program, Their current course completions will be recognizsd by the new program.

Hi Craig

Let's say I have a program with a set of courses all to be completed.
So this means whenever I add a new 4th course to this program the completion calculation for users who already have completed it will stay 100% and not be recalculated.
If I want all users who have completed the 3 courses and set the program to 100% to be reset to 75% due to the new one, how can I do this?
Is there no option to trigger a recalculation? Is the only way to do it to create a new program with the same courses and the same people?
Then I always would have to replace a program by a new one when I want to add a course which should count for completion ... ?

Thanks,
Markus

Hi Markus

The resetting of completions is what happens in Certifications where current course completions are moved to historic course completion and the activities reset.

Programs are designed for being completed once whereas Certifications are designed for completing many times. For example if I have completed a  degree previously I wouldn't be expected to have to complete another course once I have been awarded the degree,

Unassigning and reassigning the user to the program does not trigger the recalculation of program completion unfortunately

It is possible to edit the program completion record of a user with the program completion editor to not complete and they will need to complete the new courses to complete the program.

What you are saying is correct. It's even more peculiar if you remove a course from a program. We had a situation where a COVID specific course no longer needed to be part of a program (it was one of 4 courses within the program) - so we wanted to remove it as it didn't matter that some people had completed it. That's fine, but there was no way to reset the program completion, so even learners who had completed all of the 3 remaining courses only showed as being 75% complete (having completed 3 of what was 4 courses), and will only be such.

Morning Craig

Thanks for your reply.  Those already completed (which is around 121) will not need to complete this new course, its content is only really relevant in the first few weeks of joining our company.

So I will go ahead and create a new programme containing all 3 courses.

The slight complication is the original program they only had to complete a minimum of 1 of the 2 courses to be marked as complete.  Whilst the new 3rd course they must complete, I am assuming I can deal with this requirement by having it in a separate set?

How best to deal with the old program?  Do I just remove the audience from the Program Assignment tab?  Will that affect the completion records for those who have already completed it?

Hi Sue

Yes you can add the new program with the extra course in a separate courseset. The original courses would be in a separate cousres set with the requirement to pass one of the courses.

If you unassign a user from the program that they have completed they will still show as completing the program - this what you want to happen?

Thanks for the extra information Craig.

I've re-read your previous posts and realise only those who are not complete would need to complete the additional course.  The status for those already recorded as complete will not be affected, which will work fine for this particular situation.
