We are  seeing generic emails sent from the system but set against a sender's name e..g for certificates.  Does anybody have a solution on how to ensure that system emails do not look as if they have come from a specific person?

Hi Paula

The sender of the certificate is determined using the following logic

  1. Totara will look for users with the 'moodle/course:update' capability
  2. The first user to be found with that capability will be used, based on the following criteria:
    • Closest role assignment context to the certificate activity – roles assigned in course context beat roles assigned at category or system
    • Highest role sortorder - if there is more than one role assigned at the closest context, whichever role comes first in the list of roles wins
    • Oldest role assignment - if there is more than one user assigned to the winning role, the user who was assigned first wins
  3. If no users are found with 'moodle/course:update' capability, then Totara will use the Site Administrator as the sender of the certificate.
So if you want this to come from a nominated account that has a generic email address then make sure they are the only user with moodle/course:update in the certificate activity in the course

Thank you for the suggestion. I found the part you were talking about.

If we remove all 3 roles from this  setting within the certificate, what else will  be impacted? i.e. what will people  with this role no longer be able to do?   Would it mean that only those with site admin could then update any changes to the certificate? This would not prevent them from updating the whole course?

As I read it the user with the new role in the certificate would be the one appearing on the certificate as they are the closest role assignment context to the certificate activity

The other roles with the  moodle/course:update would be at course level so would continue to be able to update the certificate as they still have the permission it is just at a higher context .
