Managing audiences linked to programs

Hi community 🙂

I'm looking to understand best practice when it comes to managing audiences when you use them to manage enrolment into programs.

The scenario I have is:

  • we are archiving Program A and replacing it with Program B

  • enrolment into Program A was controlled by Audience 1.

  • Those who have completed Program A do not need to be enrolled into Program B.

What do you do with audiences in this instance? Do you delete Audience 1 to help keep the number of audiences down? Do you update Audience 1 to only include those who haven't completed Program A?

Thanks in advance for your wisdom!

Hi Nana

it is best not to delete audiences that enrol users - as this would unenrol the users and could lose their enrolment records depending on the unenrolment actions settings.

You could rename the audience to add the word Archive before it to clearly show this is not a current audience.

You can configure Automatically update membership settings to freeze the membership based on the following checkbox options:

  • Make a user a member when they meet rule set criteria

  • Remove a user's membership when they no longer meet the rule set criteria

Unselecting both options will freeze membership until either (or both) of the options are changed.

Thank you Craig, didn't realise you could freeze membership that way. Will give it a go.
