Assignment Exception Notifications to Site Admin Only

Good Day All,

We are using V16. Has anyone found a way for the assignment exception notification to go to another Admin besides only the Site Admin?

We are in a situation where our upper level management that doesn't work in the system is the Site Admin and the LMS administrator that manages the system is the Site Manager. The company chiefs do not want this changed. The email notifications do NOT usually get forwarded manually to the Site Manager. So, the exceptions remain uncleared until they are stumbled upon.

We are unable to see how to also have these assignment exception notifications to be emailed to the Site Manager as well. Does anyone know of a way?

Thanks so much for your help,

Natalie Matthews

Hi Natalie

I couldn't find the assignment exception notification but assume it is a system notification that goes to Site admins. This isn't able to be changed through the user interface.

One possibility is to use event monitoring and the user to subscribe to receive a notification when the event is triggered .

regards

Hi Craig,

Do you know which 'Area to Monitor' I would set the rule for? From the list I was guessing 'Totara Messages', but I wasn't certain. Also, any help on the Notification message settings would be helpful. I looked at the help docs for event rules & editing, but still couldn't figure that out. Thanks for your help.

It doesn't solve the issue of who the messages get sent to, but in terms of picking up that the exceptions exist you might what to try creating an admin dashboard (which can be easily checked), and on there have some Report Table blocks linking to reports using the "Certification Exceptions" and "Program Exceptions" report sources.

If you can persuade the upper management to still be an admin, but not the main one, then you can promote the site manager to an admin role alongside them and make them the main one. That wouldn't diminish any permissions the upper management has, just mean that they aren't the default recipient for those notifications.

Hi Daniel,

Thanks for the suggestion. I will try that route and see if a report table block can give us what we need.

I tried persuading that and other ideas, but it was a firm no.

Thanks,

Natalie

We do not see a way to pull data for exceptions into a report source. If anyone has suggestions on that, we would appreciate it.

Thanks,

Natalie

There are specific report sources for Program and Certification (at least on our site), I'm assuming they are standard ones but we've been using them for so long that I'm not sure! They are called "Certification Exceptions" and "Program Exceptions" if that helps, and we just have the Certificate/Program name and linked icon, and a count of User's Fullname, as the two columns.

Hi Daniel,

We don't have those reports/report sources. I was able to pull a 'Notification Messages Sent' report and filter it to see the exception notifications sent. I'm going to set up a scheduled report to be sent to me daily with this filter. Thanks!

Interesting, they definitely look like they should be standard: https://totara.help/docs/report-sources#certification-exceptions and https://totara.help/docs/report-sources#program-exceptions. Which version of Totara are you on?
