Upgrading to V20 Changes in Certification Reoccurrence

Hi All,

We are upgrading to V20 in a couple of weeks and are looking over the Cert/Program training courses. It appears that the Certifications are vastly different than what we are used to in our current V16.

Can anyone please verify these points:

Do certifications only have a duration of certification and timing of reoccurrence now instead of the many options such as a set year/month or reoccurring from their completion date, etc.?

We have to use 'Learning Paths' now instead of a set screen to choose our recert settings?

Also, what about the settings on our existing certifications if what we have set no longer exists. My mind is going down the rabbit hole on this one. LOL

Trying to wrap our heads around this. Thanks for your help everyone!

Kia ora Natalie,

We're currently upgrading to V20.

Happy to have a chat if you'd like about certs & V20 based on our experiences during UAT.

Ngā mihi,

Larry

Hi Larry

I'd appreciate being part of any chat - we are just about to start testing and we have a lot of certifications so will be interested to see what you have found.

Thank you

Jane

Sorry Natalie, the time difference is too great for us to connect online.

But I'll try and reply with answers to your questions where I can.

I would also be interested to find out more on the current certification/program settings when upgrading from V19 to V20.

Especially how much work is required behind the scenes by Site Admin.

Thanks

Sue

Kia ora Sue,

We are upgrading from V17 to V20.

In regard to certs, we have not had to do much work in the background.

Most of what we encountered has been in UAT.

  1. The set up to test certs takes time ideally you would have several Learner accounts otherwise it can be become quite confusing working out if the results are being influenced by other certs

  2. We had to work out how to advance cert during UAT so we could test the various scenarios. I'm happy to share how we did this, but a better option, if possible, may be set up short certs. If your UAT length allows this, you can let them run naturally so you can check the outcomes. This would require precise planning as you would need several certs set up to test the various scenarios.

This is what we came across during UAT and to be thorough I'll list ones that were able to be replicated and those that we were not and may have occurred due to how we set them up or other factors.

Issues we encountered during UAT:

  • An extension request didn't work in one instance during UAT, but when our partner did a test, it did work. We're assuming we must have erred in our set up which caused the error

  • we had a course in a hidden category included in a cert and this caused an error message when the learner tried to view the requirements for the cert. While we wanted the error message to be updated to be more concise this was not possible as it is expected behaviour. But obviously you should not include courses in a hidden category in a cert.

  • the same error message appears if a certification has self-enrolment active but is in a hidden category. If a Learner tries to enroll on it, they will get an error message. This has been reported to Tōtara. Error does not appear if the cert is in a visible category.

  • related to the one above was learners being able to see certs in a hidden category. This was not able to be replicated so may have been due to other factors.

Ngā mihi,

Larry

So, after further reviews of the V20 Totara Learn training I see where to set the recert requirements to completion, fixed, expiry. The issue we are having is knowing what we are setting is for which item.

This may take quite a learning curve to get it right. I'm sure it's 2nd nature if you've done it a few dozen times, but at first it is very confusing. V16 seemed clear cut. We will keep trying…
