Hi all,
We are thinking about enhancing our user data management suite to include automated purging of user data after a period of time has elapsed. We have a solution, but we’re looking for some feedback on the details.
Rather than scheduling the purge itself, our proposed solution is 'Scheduled user status transitions'. This will allow admins to schedule when users should be suspended or deleted, based on some criteria. When the status transition happens, user data purge would occur just as it does now for a manual status change.
The interface would look something like this:
A schedule can apply to all, or a subset of users – since this is likely to be used in the context of data purging, we can’t rely on user data to identify those users (e.g. profile fields or job assignments), so we are proposing to use purge types, i.e. apply a schedule to that subset of users who have a specific Suspended or Deleted Purge Type applied. Applying a purge type is already a bulk action that can be performed on any subset of users.
Scheduling would be dynamic, based on time elapsed relative to one of three fields:
- User suspended date
- Last access time
- User profile custom date field
Finally, we are currently only considering transition from active to suspended, and from active or suspended to deleted.
Our questions to you:
- What would you think of this, as the first release of a new feature?
- What gaps do you see in terms of solutions you've already implemented, or that would be nice for administrators to have?
- For those who have implemented a solution like this already, how have you dealt with other functionality that alters user status, such as HR import or user upload?
