I am wondering what the "Dismiss" action actually does when manager receive the message to approve/reject their direct report's f2f request. Also, who actually see the face to face approval tab?

When a learner request for a face to face session that requires manager's approval, it should send an email to the manager and also appears under the manager's task pane. Manager can then approve or reject it in Totara. What happens in our v2.7 version is when a manager logs in and view the message, it has 3 action - approve, reject and dismiss. If the manager choose to "dismiss", it then seems stuck in the system and no one can approve/reject it.  The message disappeared from the task pane.  Also, if we view the site log, it would not record this "dismiss" action. It just says manager has viewed the action. We have few hundreds manager in one region and it's hard for us to investigate issue why a learner's request has not been approved and it stuck somewhere. 


Then, as a site manager or trainer would not see the "approval" tab. They could not identify those that are stuck in the system on their respective course, or to estimate how many people are awaiting approval. A site administrator however can see the tab. I'd expect the site manager "role" would also see the approval tab but it's not showing up.


Any suggestion or workaround to resolve this situation will be appreciated.

Hi Mei

I tried your scenario and you are correct - dismissing the message means this is no longer accessible to the manager and Site managers are not able to see the approval tab on the face to face. 

In version 9 it is possible to select another role or administrator to approve the Face to face  (seminar) to counter this limitation.

There is a report source Face to face sessions that can be used to show users that are not approved (status = Requested) . The Content tab could be limited to direct report and only staff manager role can view.

This would mean when a manager logs in and view the report they will see sessions that  their direct reports have requested and they can click on  the face to face link and approve their staff.
