Overview and use-case scenario

Make it possible to decline a Seminar booking via email, e.g. Outlook.

Example:

  1. Manager enrols team member on seminar event or user signs up.
  2. Users receives a booking notification with the iCal event stored in Outlook.
  3. User declines through Outlook.
  4. User has successfully declined seminar via Outlook and attendance is removed.
  5. Manager gets notified (dependant on whether the notification is set to go to the manager).

One possible solution would be to add a cancellation URL containing a token linked to a specific user who has received the booking confirmation on the iCal event within Outlook.

Hi Kevin

I have had a look at the related ticket and there is no further interest in this feature. 

This feature is difficult to implement as different email clients treat iCal content differently so make it hard to control content outside of Totara.

I am following up with the development team - this may be easier now with some of the developments required for the centralised messaging system being developed.

Hi Kevin

The Centralised Notifications is being implemented in phases and some of this has already been developed .

Partners can follow the progress of this in the Community Issue tracker

The iCal functionality is external to Totara and is implemented in  email clients differently so to get this functionality working consistently will require refactoring of the iCal support. We haven't started doing the requirements for this so providing an estimate for how long this will take is pretty difficult unfortunately.

The product team are having a look at this to see if we are interested in providing some customised development for you.

It would be great if once the user declined the invitation, they were removed as an attendee on Totara.

Hi!

I would be interested in an update about this improvement request as well. I have a customer who would be very happy if this were developed. Despite very clear instructions in their notifications about how you need to cancel you subscription, their employees keep doing this via de the iCal in Outlook. As a result, employees think they have unsubscribed and this is not registered in Totara.

Hi Zehra

There is a product roadmap available to partners - this describes the areas that will be targeted in future releases rather than individual feature requests. Seminars is not one of the targeted areas.

Seminar notifications have improved with centralsied notifications . There is a setting in seminar global settings to disable iCalendar cancellations that can be ticked if there is a problem.

The problem is the iCal 'standard' is not followed by some email clients such as Outlook so it is hard for Totara to ensure the third party software works as expected . We have tried to tweak the email content to make this more compatible but this is still not fully compatible in all areas for all email clients.
